CRM Review Criteria For Freelancers

A transparent scoring method for testing whether CRM software makes a freelancer's client workflow clearer, faster, and easier to leave.

Direct answer

What criteria should freelancers use to review a CRM?

Review a CRM by testing the workflow, not by counting features. Score capture speed, next-action clarity, follow-up reliability, pipeline fit, data portability, automation control, and total operating cost using the same sample leads and tasks in every product.

A long feature list can make weak workflow fit look impressive. This rubric keeps the test tied to the work a freelancer actually repeats: capture an inquiry, qualify it, set the next action, follow up, move the opportunity, review the pipeline, and export the records.

Use One Test Scenario

Create three fictional inquiries: one strong fit, one uncertain fit, and one poor fit. Move all three through the same sequence in every CRM. Do not import real client names, email addresses, contracts, or private notes during a trial.

  1. Create each inquiry with source, status, summary, and next action.
  2. Qualify the strong-fit inquiry and record why it should move forward.
  3. Schedule a follow-up and confirm where overdue work appears.
  4. Move the inquiry through a small pipeline with no more than five stages.
  5. Run a weekly review and identify the next action for every open record.
  6. Export the records and verify that important fields remain usable.

Score Scale

ScoreMeaningEvidence required
0Missing or blocks the workflow. The task cannot be completed in the test.
1Possible only with a fragile workaround. The task requires duplicate entry, memory, or an extra tool.
2Reliable for the common case. The task is repeatable with acceptable setup and no hidden step.
3Clear, fast, and controllable. The task is easy to repeat, inspect, change, and export.

Seven Weighted Criteria

CriterionWeightWhat to testFailure signal
Capture friction15Time and steps needed to create a useful inquiry record.Important context is delayed, duplicated, or skipped.
Next-action clarity20Whether every open inquiry can show one owner, due date, and next action.Records look active but do not say what happens next.
Follow-up reliability20Reminder creation, overdue visibility, and completion history.Follow-up depends on checking several screens or remembering dates.
Pipeline fit15Whether a small set of stages matches the real decision path. The product forces irrelevant stages or hides stalled work.
Data portability10Export format, field coverage, and usability of exported records.Export is absent, incomplete, unclear, or unexpectedly paywalled.
Automation control10Whether rules are visible, reversible, and easy to pause.Automation can send, move, or change records without clear review.
Total operating cost10Price plus setup time, weekly maintenance, training, and connected tools.A low subscription price creates a high manual workload.

Calculate The Workflow-Fit Score

For each criterion, multiply its weight by the score divided by three. Add the seven weighted results for a total from 0 to 100. The result measures fit for the tested workflow, not universal product quality.

Weighted points = criterion weight x (score / 3)

Keep screenshots or short notes for every score so another reviewer can repeat the decision.

Interpretation Bands

TotalInterpretationNext action
80-100Strong fit for the tested workflow.Confirm price, support route, export, and cancellation terms before purchase.
60-79Conditional fit with visible compromises.List the compromises and test the most important one again.
40-59Workaround-heavy fit.Compare a lighter tracker or another category before buying.
0-39Poor fit for the tested workflow.Reject it for this use case unless the workflow itself changes.
